We're currently building a new module called WorkGuru workflows. 


The point of this module is to allow you to automate some of the pain-in-the-butt things that you're currently doing manually, or optimise your workflows to make things a bit nicer.


This thread is for customer suggestions about what you'd like to automate.


Some current examples are
When a project is completed - mark all tasks as complete.

When a Project Status Changes - send an email to the Client / Project Manager letting them know of the status change

When a PO is received, if the value is greater than the ordered value - email the project manager.

Give us your best ideas and we'll see how we can incorporate them!

there's a bunch here:
1) bulk send Po's to suppliers on a project when a custom trigger is actioned on the project header
2) action sending emails (project/PO/other) to trigger sending to custom fields or addresses in the project rather than typing them individually. e.g project lead, "custom field 1" and supplier are sent a reminder if the PO is unreceived = 7days past the eta 
3) "go workflow" manual triggers that action the automated task(s) where a trigger event is not available. Eg, goods are shipped internationally, update conditioned PO eta's to 30 days from the date manual trigger is activated 
4) add work groups emails where stakeholders who are not WG users can receive email burst on project delays 
5) run and send selected reports on triggered event such as task status update, project completion etc
6) Outstanding invoice reminders  
i'm sure i'll think of more

Setup service schedules for an asset, and the be able to automatically send service reminders via email or SMS, when an asset is due for service.

  1. To create an invoice for 100% of the billable upon creation of a recurring project. 
  2. To mark as completed and at the expiry of a project or a project group or a due date if part of a project group. We have a number of recurring projects that rollover into new projects during the month. These are all different due dates and difficult to do via a group.

Billable/ non-billable option be made available at the task level, and tasks that have been identified as non-billable at that level would default to 0 billable length on time sheet entries, creating greater efficiency for managing non-billable time.

Clarification of Tahlia Rosier comment.  Once a project is Fully Invoiced.  For us, we have many large, multi-part PO's.  We currently have a 'Partial Invoice' category, so for us, this would also be useful.

To have a history of who made a change and on what date so we can track when a change was made.

I would like "show delivery details" in POs to remain open, NOT a drop down. Also, I want the address of my location to stay in the fields automatically without having to do the dropdown to select it, or an option to set the default address. The "required approval" field should default to the person making the PO, or an option to set the default person. When emailing POs it would be nice to have an option to add a signature that is there by default. Having a materials due tab with a drop down calendar would be great!

Project Summary Report auto run a document (no inputs) or form (would need the option to have inputs) and create a doc / pdf and save to project. 

When <Status Change> or <Project Completed> print PDF document to project.

Upgrades to Assets.


Have an activity on an Asset that automatically sends an email to an input email address (client or Internal team) on the due date selected.

To serve as a reminder system to get the asset serviced.


Also would be good to add projects to an asset that are for a different client other than the client selected under the asset.

If a Production Job has a Status "Waiting for Material", (because SoH is lower than required)

Once a PO is received and the SoH levels are now higher than required to complete the Production Job.

Notify Production Manager that, Production Job 1234, can now be picked as there is enough SoH

Once a project has been invoiced automatically change the status of the project to "completed" so it's removed from the open list.

To expand on the "When a PO is received, if the value is greater than the ordered value - email the project manager'' , it would be a very handy tool that when any PO is received, an email is sent to the Project Manager that the goods have arrived.

When a lead is created, it would be great if it could automatically create an activity.

If you make a lead, you want to follow it up, right? Having an activity means it reminds you to follow it up.

The way it is too easy to forget to make an activity for a lead.


Also, it would be great if there was a way to get it to send you automatic emails when an activity is due so that you can remember to follow up.
