Gantt Project and Task Scheduling

The project schedule gantt chart allows you to easily schedule and reschedule project and production jobs and their associated tasks. 

By simply extending and/or dragging and dropping, you can manage project, production job and tasks start and finish dates.

The project schedule gantt chart is accessible from Projects -> Gantt Chart.  The chart displays the following if scheduled within the selected date range:

  • Projects and production jobs (Purple) - Start and finish date.
  • Tasks (Green) - Scheduled or unscheduled (optional) tasks start and finish date.
  • Project purchase orders (Red) - Unreceived project purchase order's expected delivery date.

Viewing the Schedule

Displayed projects, production jobs and tasks can be filtered by a number of functions:

  • Project Manger - Filter projects by assigned project or production manager.
  • Project - Display selected project or production job and tasks only.
  • Client - Filter projects by project client.  Note: Must be blank to display production jobs.
  • Status - Filter project and production job tasks by status.
  • Show Unscheduled Tasks? - Toggle the display or scheduled or unscheduled tasks.  Unscheduled tasks inherit the project schedule by default.
  • Move related tasks together - If tasks are scheduled after each other creating a dependancy, moving the first task will reschedule the following task, maintaining the same timing.

Schedule period can be changed using the calendar navigation functions:

  • Display Duration - Change the display duration between 1 Month, 3 Months or 6 Months. Depending on duration selected, scroll lto display all of the calendar. Note: Weekends are displayed in grey.
  • Today - Shortcut to return to current date.
  • Previous/Next - Based on the selected display duration, display the previous and next period.

Access details by clicking on the events displayed in the schedule

  • Project/Production Jobs - Clicking the project or production job will open the related details page on another tab. Projects also display a checkmark, which is a shortcut to mark the project/project as complete directly from the schedule.
  • Tasks - Tasks display a checkmark which is a shortcut to the mark the task as complete. To access the task details, click on the parent project/production job.
  • Purchase orders - Clicking the purchase order will open the related details page on another tab.

Managing the Schedule

To manage the schedule, simply drag, drop, extend or contract the project/tasks as required.

  • Changing a purchase order will update the order's expected due date.
  • If rescheduling a project changes the project start date, the project's tasks will be rescheduled automatically with the same duration.

If the Move related tasks together function is selected, related tasks will be rescheduled automatically with the previous task.

The Show Unscheduled Tasks function allows you to identify and scheduled task that currently do not have a Start Date and Finish Date.

Displayed unscheduled tasks will become scheduled tasks when:

  • Are individually scheduled.
  • If the parent project or production job is rescheduled.
