The Timesheets table displays applicable Timesheet entries submitted to a project or production job.
Document Compatibility
The Timesheet Table is available for use on the following document templates:
- Projects - see Project Document Templates
- Production Jobs - see Production Job Document Templates
- Invoices - see Invoice Document Templates
Setting Up a Timesheets Table
Timesheet merge fields must be placed inside a correctly configured table. The table requires:
- A header row. Headers can be customised to suit your document.
- A repetition line row containing your merge fields
- The correct Alt Text Description. Set the table’s Alt Text Description to:
- Timesheets
When WorkGuru generates the document, the repetition row is repeated for each applicable timesheet on the transaction. For detailed instructions, see Table Field Setup in WorkGuru Document Templates.
Timesheet Table Fields
| Description | Merge Field |
|---|---|
| Staff Name | [StaffName] |
Date (DD/MM/YYYY) | [TSDate] |
| Start Date and Time (DD/MM/YYYY HH:MM) | [TSStartTime] |
| End Date and Time (DD/MM/YYYY HH:MM) | [TSEndTime] |
| Total Length (Displays as decimal value) | [TSLength] |
| Billable Length (Displays as decimal value) | [TSBillableLength] |
Billable Amount. Calculated as Billable Length multiplied by the applicable rate (*1 explain below) | [TSBillableAmount] |
| Task Name | [TSTask] |
| Note | [TSNote] |
| Total Length of all applicable Timesheets. | [TSTotalLength] |
| Total Billable Length of all applicable Timesheets. | [TSTotalBillableLength] |
When Timesheets are displayed on an Invoice, WorkGuru uses the Timesheets contributing to the Task actuals applicable to the invoicing period.
*1 The definition od applicable rate: For non-billable tasks it returns 0. Projects using staff rates use the saved timesheet staff rate, then the staff member’s task-specific rate, then the task rate. Projects not using staff rates use the task rate.
